PRIVACY POLICY
(Applicable to contestants participating in the Star Awards Competition)
The Star Awards Competition is jointly organized by six university clusters (Vietnam National University, Hanoi; Thai Nguyen University; Hue University; The University of Danang; Vietnam National University, Ho Chi Minh City; and Can Tho University) and is sponsored by Wilmar CLV Group and the Simply Rice Bran Oil brand. The 15th Star Awards Competition takes place from September to December 2026 (hereinafter referred to as the “Competition”) and is hosted by The University of Danang (hereinafter collectively referred to as the “Organizing Committee” or “OC”). The Organizing Committee acts as the Personal Data Controller and Processor in respect of the personal data of contestants participating in the Competition.
By ticking the box stating “I have read, fully understood and agree to the Competition Rules and Privacy Policy” when registering an account on the official website of the Competition (the “Website”), the Contestant confirms that the Contestant has read and fully understood this Policy and voluntarily consents to the Organizing Committee’s processing of the Contestant’s personal data in accordance with the following terms:
ARTICLE 1: SCOPE AND CATEGORIES OF PERSONAL DATA COLLECTED
1.1. Identification and contact data: Full name, date of birth, gender, contact details (telephone number, email address, LinkedIn account), educational information (current university/college, student identification number, major, cohort or year of study, graduation year and career aspirations).
1.2. Image and audio data: Personal images (including portraits and wide shots), voice recordings and any content appearing in the Competition entry (video clip) submitted by the Contestant to the Organizing Committee.
1.3. Digital interaction data: Engagement metrics (likes, shares, comments and saves), and the Contestant’s scores and rankings on social media platforms and the official Competition Website, together with data collected pursuant to the cookie policy set out in this Privacy Policy.
ARTICLE 2: PURPOSES OF PERSONAL DATA PROCESSING
The Organizing Committee collects and processes the Contestant’s data for the following purposes:
2.1. Organization and administration of the Competition: To identify the Contestant, verify eligibility, communicate with the Contestant, score the Contestant’s performance, announce results and award prizes in accordance with the Competition Rules.
2.2. Communications and promotion: To use the Contestant’s images and Competition entry to promote the Competition.
ARTICLE 3: DATA SECURITY AND TRANSFER
3.1. The Organizing Committee undertakes to apply necessary technical and security measures to protect the Contestant’s personal data in accordance with applicable laws.
3.2. The Contestant agrees that the Organizing Committee may share and transfer the personal data collected during the administration of the Competition and the Contestant’s Competition entry to the six university clusters identified at the beginning of this Policy, the Competition Judging Panel, the partners responsible for operating the Competition Website and the Organizing Committee’s media partners, for the purpose of organizing and administering the Competition.
3.3. The Contestant agrees that the Organizing Committee may share and transfer the personal data collected during the administration of the Competition and the Contestant’s Competition entry to member companies of Wilmar CLV Group for the purpose of developing Wilmar CLV Group’s employer brand, incorporating the Contestant’s images or Competition entry into communications and advertising campaigns for the sponsoring Simply Rice Bran Oil brand, and carrying out other lawful promotional and communications activities of Wilmar CLV Group.
3.4. The Organizing Committee undertakes not to sell, rent or exchange the Contestant’s personal data with any third party for commercial purposes outside the scope of this Policy.
ARTICLE 4: RIGHTS AND OBLIGATIONS OF THE CONTESTANT AS A PERSONAL DATA SUBJECT
4.1. The Contestant’s rights as a personal data subject include the right to:
a) Be informed of personal data processing activities;
b) Give or withhold consent and request the withdrawal of consent to personal data processing;
c) Access or correct personal data, or request that personal data be corrected;
d) Request the provision or deletion of personal data or restriction of personal data processing, and object to personal data processing;
e) Lodge complaints, make denunciations, initiate legal proceedings and claim compensation for damage in accordance with law; and
f) Request a competent authority, or any agency, organization or individual involved in the personal data processing to take measures and adopt solutions to protect the Contestant’s personal data in accordance with the laws.
4.2. The Contestant’s obligations as a personal data subject include the obligation to:
a) Protect the Contestant’s own personal data and respect and protect the personal data of others. If the Contestant provides the Organizing Committee with personal data that does not belong to the Contestant, the Contestant is responsible for and warrants that the Contestant has obtained such data subject’s consent in accordance with personal data protection laws to the Contestant’s sharing of such personal data with the Organizing Committee and to the Organizing Committee’s processing of such personal data;
b) Provide complete and accurate personal data when consenting to the processing of the Contestant’s personal data; and
c) Comply with personal data protection laws.
4.3. To exercise any right as a personal data subject, please submit a request to the Organizing Committee via the contact information provided on the official Competition Website. The request must include the Contestant’s full name, necessary contact details such as telephone number and email address, details of the request, and supporting documents (if any) so that the Organizing Committee can verify the Contestant’s identity and process the request in accordance with the applicable personal data protection laws.
ARTICLE 5: COOKIE POLICY
5.1. The Website uses cookies, which are small text files placed on a user’s computer or mobile device when such user visits the Website.
5.2. By clicking “Agree” to the use of cookies on the Website, the Contestant consents to the Organizing Committee’s use of cookies to collect and process the Contestant’s personal data for the purposes of collecting Website usage data, supporting the Contestant’s internet browsing sessions, monitoring visitors’ use of the Website, and compiling statistics on activities conducted on the Website.
5.3. The personal data that the Organizing Committee collects from Website visitors includes IP addresses, information about how users access the Website (for example, through a search engine or from an external website), how users navigate the Website, the devices used to access the Website, and users’ geographical locations.
5.4. If a user does not want Website cookies to be placed on the user’s computer or mobile device, such user may change the web browser settings to block cookies or manually delete cookies stored on the computer or mobile device. Such user may also configure the browser or mobile device to provide a notification whenever a cookie is received, allowing the user to decide whether to accept it. Please note, however, that if the user blocks cookies, certain Website features and functions may not be available.
ARTICLE 6: PERSONAL DATA PROCESSING AND RETENTION PERIOD
The Contestant’s personal data, images and Competition entry will be processed and retained until the Organizing Committee receives a valid written request from the Contestant to withdraw consent, or for such other period as required by applicable law. Any withdrawal will not affect the lawfulness of personal data processing activities carried out, or disclosures made, before the withdrawal took effect.
